What to know about donating a workstation

Where workstations end up

Engineering, architecture, video and data workstations are built for heavy, long-running work. Training programs and nonprofits that do design, media or technical work can use that power for years.

Tower workstations such as HP Z, Dell Precision and Lenovo ThinkStation models, as well as mobile workstations, are all welcome for review.

What we look at during review

Tell us the model, processor, memory, storage and graphics card. Professional graphics cards and ECC memory are useful details.

If you have several identical workstations, list the quantity. Offices with many machines can ask about bulk pickup.

Your data

Workstations often hold sensitive project files. Reset them before donating, or remove the drives. We wipe every device with Acronis before reuse, and businesses can request a certificate of data destruction.

Value and your tax receipt

If you itemize, you may be able to deduct the fair market value of your workstation, which is what the same model in similar condition sells for used today. You determine the value; we can't appraise it. Giving Center sends a written acknowledgment describing what you donated.

Starting with the 2026 tax year, itemizers can deduct only giving above 0.5% of adjusted gross income, and items you deduct at more than $500 need Form 8283. Our tax guide covers the details. Ask your tax preparer what applies to you.

Before you ship: release licenses, reset

We wipe every device with Acronis before it's reused. Releasing software licenses first keeps them available for your next machine.

    Copy project files and settings to a server or external drive.

    Deactivate CAD, design and video software so the seats return to your account.

    Reset it

    Settings, then System, then Recovery, then Reset this PC, with Remove everything and Clean data on.

    When it restarts to the setup screen, it's ready.

Packing and shipping your workstation

Please send the form first and wait for our reply. We'll send the shipping address and instructions once we've reviewed it. We can only take items we've approved, so please don't ship anything before you hear from us.

Pack it well. Workstations are heavy. Use a double-wall box with thick padding, or ask about bulk pickup for several.

Label what's inside with a note listing each item, so we can match it to your form.

Ship with tracking. Donors ship at their own cost. Shipping is sometimes reimbursed; ask when we review your donation.

A note on taxes

If you itemize, you may be able to deduct the fair market value of your workstation: what a willing buyer would pay for it as it is today. You decide the value, and your tax preparer can tell you what applies to you. We don't appraise items and can't promise a deduction.
